What categorised and reconciled mean

Categorising means assigning each bank movement to a sensible accounting heading, such as sales, software, travel, rent, bank charges, director funding or drawings. Good categories turn a bank statement into information that can support accounts, tax work and management decisions.

Reconciliation means proving that the records agree to an external source, usually the bank balance, after accounting for timing and any missing entries. This package checks the completeness and totals of the supplied bank data and produces a structured transaction file. A full bookkeeping reconciliation across invoices, cards, loans and accounting software is outside the one-account scope.

Why it matters without VAT

Businesses that are not VAT registered still need reliable records. Company directors must keep adequate accounting records, self-employed people need figures for tax returns, and both need to distinguish business spending from personal spending. A pile of bank transactions is not yet a set of accounts.

Consistent categories make year-end work quicker and reduce questions from the accountant. They also show where cash went, which costs are recurring and whether customer receipts appear complete. Poorly labelled transfers and personal payments can otherwise distort profit or lead to incorrect tax treatment.

How the Excel output is used

The deliverable is a clean table containing the transaction date, description, money in or out and assigned category, plus notes where an item needs attention. Columns can be arranged for a standard Xero or QuickBooks bank import, or for an accountant to map into their own chart of accounts.

Importing does not automatically post every item correctly. The receiving software or accountant may still need to create bank rules, map account codes, handle opening balances and match transactions to invoices. We preserve the source description and control totals so the next person can see what was supplied and how it was treated.

Limits of bank-only bookkeeping

A bank feed shows cash movements, not the complete commercial story. An unpaid supplier bill, customer invoice awaiting payment, depreciation charge or payroll liability may not appear as a simple bank line. For cash-based catch-up and early-stage record organisation, bank data is a useful foundation, but it is not a substitute for full double-entry bookkeeping in every business.

VAT-registered businesses need additional evidence and tax coding. Claiming VAT normally requires valid invoices, not just a bank description. If you need VAT treatment, invoice matching, several accounts or a finished accounting-software ledger, choose an ongoing bookkeeping package or request a custom quote.
