What a PAYE scheme involves

PAYE is the system employers use to report pay and deductions to HMRC. A payroll scheme gives the employer references needed to submit Real Time Information, usually on or before each payday. Payroll then calculates gross pay, Income Tax, employee and employer National Insurance, pension deductions and net pay.

Registration is only the setup step. Running payroll is a repeating compliance process. The employer must keep accurate employee details, calculate deductions, send submissions on time, give payslips and pay HMRC by the relevant deadline. This package creates the scheme but does not include monthly payroll processing.

What must be ready before the first payslip

You need the employee's full name, address, date of birth, National Insurance number and start date, plus their starter declaration or P45. Agree the gross pay, frequency, working arrangements and any benefits or deductions. Directors require correct National Insurance treatment, which may differ from ordinary employees.

Choose payroll software, set the pay calendar and confirm who will authorise payments. The PAYE references can take time to arrive, so employers should register before the first payday rather than after it. HMRC restricts how far in advance an employer can register, which is why the intended payday matters.

RTI and paying HMRC

The Full Payment Submission reports each employee's pay and deductions to HMRC on or before payday. An Employer Payment Summary may be needed for adjustments or months without employee payments. Late or inaccurate submissions can lead to notices and penalties.

The payroll calculation does not move money automatically. The employer must pay employees and separately pay PAYE and National Insurance to HMRC, taking account of any available allowance or statutory payment recovery. Ongoing payroll support can handle the calculations and submissions after the scheme is live.

How auto-enrolment connects

Workplace pension auto-enrolment is related to payroll because payroll assesses workers and calculates contributions, but it is a separate legal duty overseen by The Pensions Regulator. Eligible staff may need to be enrolled from the employer's duties start date, and the employer must complete a declaration of compliance.

Opening a PAYE scheme does not itself create or configure a pension scheme. Pension assessment, provider setup, employee communications and declarations are outside this fixed-fee registration package and should be planned separately before payroll begins.

When should I register as an employer?+

Do I need PAYE if I only employ a director?+

Does this include monthly payroll?+

Is pension auto-enrolment included?+
